We are seeking an experienced, energetic and open-minded individual to advance their career and fulfill the role of an Executive Assistant & Admin Manager to the General Manager, South Korea. Key Responsibilities Efficiently handle calendar management and schedule calls/meetings in various geographies and time zones. Capability to assist with meeting and technology set-up details (Teams/WebEx, A/V, connectivity, projection, technical assistance). Assistance with coordination of ad-hoc global administrative-related tasks, departmental support, and events (e.g., face-to-face or virtual meeting support, data management, Global events and townhalls including catering (if any)). Book domestic and international travel, adhering to policies and guidelines (secure air, hotel and cars as needed). Assist with travel documents (e.g., passports, visas, letters of entry) as needed and with T&E claims. Triage and process multiple tasks from vendor invoice submission through payment, document archiving (physical and electronic) and retrieval, document creation, etc. Issue deadline reminders and do deadline follow-ups. Manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives, and target dates. Maintain the highest level of confidentiality and handle sensitive matters accordingly to company policy. Support recruitment processes, including job postings, screening candidates, and coordinating interviews. Maintain employee records, including attendance, benefits, and payroll information. Assist with employee onboarding and orientation processes. Help implement HR policies and procedures, ensuring compliance with labor laws. Qualifications Required 7+ years of relevant experience providing varied administrative support of increasing complexity, preferably in a multinational company experience Experience in providing administrative support to individuals at various levels of seniority Can manage competing priorities and diverse routines of stakeholders Demonstrates high level of proficiency in interpersonal and communicational skills with the ability to interact in a highly professional manner and service-oriented way with people at all levels, internal and external with adaptability to working styles Shows a high degree of accountability, integrity and discretion when dealing with confidential matters Good organizational skills with high attention to detail, including ability to handle travel arrangements and organize multi-site events Team player with the ability to collaborate with various departments globally and gain the confidence an cooperation of peers Demonstrates flexibility to adjust to changing situations Excellent written and spoken English ''

T&I Package Coordinator

Key Responsibilities Provide T&I package administration and coordination support to all workstreams within the package until handover to the Operations team, Coordinate and booking of meetings (internal/external), events and site visits. Managing and coordinating internal and external reporting including support in making presentations etc. Liaison between Contractor, T&I package and communications department on external communications. Liaison between Contractor, T&I package and permitting department on permitting processes. Administration of minutes of meetings and follow up on important actions and decisions, Maintenance of package management tools (e.g. communication matrix, weekly meeting notes, etc.), Responsible for the document control including workflow management through the project document control management system (ACONEX), Provide support during execution, such as variation order processing, preparation of purchase orders and assistance in package accounting tracking, Assist the T&I Contract Manager and accounting team on invoices incurred as requested, including contractor expenses, Provide support in document translation including but not limited to the local suppliers/contractors' presentations, commercial and technical documents, regulatory requirements, etc. and summarize such information for the T&I team (and wider team if required), Prioritize conflicting requests and tasks and handle matters proactively, swiftly and to completion while meeting deadlines, Coordinate cross-functionally between the T&I Package and the wider Project team to ensure large-scale tasks are executed seamlessly, Support on miscellaneous office management tasks. Requirements Able to use MS Office tools (e.g. Word, Excel, Power Point, and One Note) to support the package.
