We have an exciting opportunity for an Executive Assistant to join a growing offshore wind developer in London on a permanent basis. 

General Administrative Support

  • Professionally handle calls, emails, and requests to ensure timely and polite responses.

  • Welcome visitors to the department and ensure their visit goes smoothly.

  • Manage the Director’s and team’s calendars, including scheduling and coordinating meetings.

  • Organize all types of meetings, including high-level ones, and book rooms or venues as needed.

  • Arrange travel plans such as flights, hotels, and meeting logistics, providing a detailed itinerary for each trip.

  • Ensure the Director is fully prepared for meetings with all necessary materials in advance.

  • Process expenses and other payments as required.

Document Management

  • Maintain proper filing and referencing of documents, both digital and physical, following company procedures.

  • Ensure files are handled securely and in line with confidentiality standards.

Document Preparation and Review

  • Draft and prepare background documents, letters, reports, and summaries.

  • Ensure materials are complete and ready ahead of meetings, suggesting edits or additions where needed.

  • Help prepare presentation materials for the Director and team.

Cross-Department Coordination

  • Collaborate with other teams to support departmental activities and projects.

  • Coordinate the preparation and delivery of marketing or event materials, including translations and printing.

  • Work with other coordinators to align tasks and processes.

Operational and Ad-Hoc Support

  • Update systems (like Oracle) to assist with daily operations.

  • Liaise with external vendors to ensure services are delivered according to agreements.

  • Assist in executing projects or tasks as assigned by the Director to meet team goals.

Information Security Compliance

  • Follow all security policies and report any issues or risks.

  • Protect devices and sensitive information from unauthorized access or loss.

  • Clear desks and lock screens when away or at the end of the day.

  • Do not install or alter software without approval.

Support for QHSE (Quality, Health, Safety, and Environment)

  • Participate in audits, safety briefings, incident reports, and reviews when needed.

  • Comply with all relevant laws, regulations, and internal QHSE policies.


Preferred Qualifications
  • Diploma in business, administration or related field
  • Bachelor's degree in business or related field is an asset
Preferred Experience
  • 3-5 years’ experience as an executive assistant or in a senior administrative role gaining exposure to general office processes and senior executive support
Job-Specific Skills
  • Good communication skills and able to work in a dynamic fast paced, diverse environment
  • Ability to prioritize and organize through calendar management skills
  • Ability to manage own variable work load, ensuring timely and accurate completion of assigned work
  • Strong knowledge of MS office, including Word, Excel, PowerPoint and Outlook
  • Must be fully aware of the sensitivity and confidentiality of the unit
